Contrail Financial Consulting ("Contrail," "we," "us") operates the Virtual Finance Platform, an
internal financial reporting tool used to deliver consulting services to our clients. This privacy
policy describes how we collect, use, and protect financial data accessed through our integration
with QuickBooks Online.
What Data We Access
When you authorize our connection to your QuickBooks Online account, we access the
following data:
- Chart of accounts (account names, types, and balances)
- Trial balance and general ledger reports
- Open invoices (accounts receivable)
- Open bills (accounts payable)
We access this data in read-only mode. We do not create, modify, or delete any data in your
QuickBooks Online account.
How We Use Your Data
We use your QuickBooks Online data exclusively to:
- Produce monthly variance reports comparing your actual financial performance to your
financial model - Calculate financial ratios and business health metrics
- Generate cash flow forecasts
- Provide accounts receivable and accounts payable analysis
- Generate AI-assisted commentary and insights for your financial reports
All of these outputs are delivered to you as part of your consulting engagement with Contrail
Financial.
How We Protect Your Data
- Your financial data is stored in a secure, encrypted database (Supabase with encryption at
rest and SSL/TLS in transit) - Access to your data is restricted to authorized Contrail personnel working on your
engagement - Your company name is stored separately from your financial data. Internal processing
uses an anonymized code name - When we use AI services to generate report commentary, only anonymized data is sent
— your company name is never included in AI API calls - AI providers (Anthropic, OpenAI) do not train on or retain data submitted through their
APIs
Data Retention
We retain your financial data for the duration of your consulting engagement with Contrail
Financial. Upon termination of our engagement, we will delete your data from our systems upon
request. You may also request data deletion at any time during the engagement.
Your Rights
- You may revoke our access to your QuickBooks Online account at any time through your
QuickBooks Online settings - You may request a copy of the data we have stored for your account
- You may request the deletion of your data at any time
Third-Party Services
We use the following third-party services in our platform:
- Supabase — secure database hosting
- n8n Cloud — workflow automation
- Anthropic (Claude) / OpenAI — AI-generated commentary (anonymized data only)
- Intuit QuickBooks Online — source financial data (accessed with your authorization)
We do not sell, share, or distribute your financial data to any other third parties.
